You Need an IHG One Rewards Membership
IHG tells participating colleagues to begin with an IHG One Rewards member number.
If that membership has already been linked to the colleague’s Merlin ID, or the employee benefit has been activated by management through Loyalty Connect, the colleague can proceed to use the benefit.
This relationship explains why a Rewards account is necessary even though the benefit comes from employment.
Existing Merlin ID but No Rewards Link
IHG’s programme page contains a specific path for colleagues who already have a Merlin ID but have not yet validated their IHG One Rewards membership.
That is a different condition from not having a Merlin ID at all.
Employees Without a Merlin ID
IHG also provides a separate route for colleagues without a Merlin ID and indicates that manager validation of the Rewards membership may be required.
The practical lesson is that benefit setup can depend on the employee’s particular IHG-system relationship.
Booking Happens Through Consumer Channels
IHG states that employee-rate reservations should be made:

- or through the IHG mobile app.
The programme page says employee-rate reservations are not accepted through the call center.
This is important because the Merlin relationship establishes eligibility, but Merlin is not where the hotel stay itself is necessarily booked.
Identification at Check-In
IHG states that employees participating in the programme must present appropriate identification at hotel check-in.
That means programme compliance continues beyond the online reservation.
Franchised-Hotel Employees Can Be Part of the Programme
IHG’s wording specifically includes qualifying people working at franchised hotels within its defined IHG System.
However, that should not be interpreted as a guarantee that every individual working at every IHG-branded property has automatic eligibility.
Programme requirements still apply.
Employee Rate and One Pass Should Be Distinguished
IHG also operates the current IHG One Pass colleague rewards programme.
Although both programmes relate to colleague travel, IHG maintains separate official pages and terms.
Users should follow the rules for the specific rate or programme being used rather than assuming all colleague discounts function identically.
